Cranbourne JFC – Grievance Policy
The Cranbourne Junior Football Club requires that all issues of conflict or grievance are resolved in a timely fashion. Accordingly, the following resolution procedures have been developed to enable this to happen. All members have a responsibility to participate in reasonable actions to resolve issues. The Club will appoint an Investigation Officer to deal with complaints and may recommend mediation as an initial step in addressing any complaint.
Procedures in the case of an alleged breach of the CodeAll formal complaints must be in writing to the Cranbourne Junior Football Club committee. It shall include the following:• Identify the individual against whom the complaint is made• Set out the details of the complaint and allegations re breach of code• Be signed by the complainant or emailed
The Investigation Officer will determine whether the complaint is made in the proper form as set out above, and comes within the scope of the Code of Conduct policy.
If, at the discretion of the Compliance Officer, the complaint does not comply with the above, the complainant will be informed in writing and may submit a corrected complaint.
InvestigationWithin seven days of the complaint being received, the Investigation Officer will provide details of the complaint to the individual alleged to have breached and allow them to respond. They shall have up to 14 days to respond to the complaint in writing, or in person to the Investigation Officer. Taking into account the complaint and the reply, the Investigation Officer shall determine whether:
* The complaint is to be dismissed or upheld * Disciplinary action, if necessary, via recommendation to the committee * Further investigation is required: or * A formal hearing is required
Formal HearingIf a formal hearing is required, CJFC shall appoint an appropriate panel to hear the complaint. In any case, the panel shall be made up of impartial persons who have had no prior involvement in the matter, or any direct or indirect relationship with or to the parties in the matter. It is recommended that one of the panel members shall be an executive committee member at CFJC. The majority decision of the panel will be determinative.
Appeal ProcessAny appeal to the decision may be made within 14 days via written communication to the CJFC Executive committee. The CJFC Executive Committee or delegation of will hear an appeal. Any penalty administered by the original panel will remain in force pending the outcome of an appeal.
PenaltiesPenalties and sanctions may be imposed by the Investigation Officer, CJFC Committee or following appeals process. Penalties imposed may depend on the severity of the breach include one, or a combination, of the following:• Request for verbal or written apology• Letter or warning re breach of code• Removal of certain privileges of membership and/or suspension• Deregistration from CJFCNote: Other penalties may be applied with executive committee endorsement Updated - July 2022
